Crick Old School Trustees. 

Minutes of the Meeting Held at 18 Bury Dyke, 22nd September 2004 at 8.00 pm.

Item 1.   Account Administration.

In light of Rachel’s appointment as Clerk to the Trustees and Robert’s departure to take up his new post it was agreed that a review of the account structure and signatories used for the Old School finances was required.  Currently Tony Cadden and Di Dyer are authorised signatories.  Rachel has got the form necessary to adjust the current bank account mandate but as the Old School also holds an account with TSB and neither account pays much, if any, interest it was agreed that Rachel would investigate the most appropriate new account which could be established and easily maintained for the Old school finances.  The current trustees would then be set up as signatories and the old accounts closed.

Item 2. Cleaning Arrangements.

Rachel noted that Ann Rodgers has not been paid for her cleaning services since the refurbishment.  A new rate of £6.50 per hour has been agreed and Rachel will organise to raise a cheque for payment for the last 10 weeks cleaning.  This amounts to £97.50.  It was also agreed that whilst the usage of the hall remains at the current levels there is no need for more than an hour to be spent cleaning the hall each week.  Phil will speak to Ann about the cleaning requirements.

Item 3.  Publicity.

It was agreed that Rachel will place an advertisement in the Crick news to let people know her contact details and the rates for the hall.  Rachel will also prepare a one-page advertisement of the facilities to be placed in the Post Office window and in the notice boards outside the Old School, in the Church porch and outside the Co-op.  Phil will arrange the Co-op notice board and Dave, the Church.

Item 4.  Future Accounts.

Dave agreed to send Rachel a file which will assist in the preparation of more comprehensive accounts for the Old School for the year to December 2004.  It was agreed that Rachel will send a summary of the accounts to the trustees on a quarterly basis.

Item 5.  Hire Charges.

It was agreed that the Hall hire charges would remain at the current level at least until the village hall have established their pricing levels following their re-furbishment.

Item 6.  Old Records.

It was agreed that the trustees will review the old records passed to Rachel by Tony Cadden and will identify those which need to be retained.  Phil will collect the records at some future date for them to be stored in the Old School.

Item 7.  Structural Maintenance.

Phil noted that some of the wood panelling is looking unsound and will need attention before too long as will the existing water heater.  He also suggested the purchase of a set of step ladders to allow access to the light fittings for cleaning / maintenance.  It was agreed that Dave will source a pair of aluminium step ladders which can be shared with the Church.  The costs will be split between the two institutions.

Phil also noted that the curtains in the kitchen area are overhanging the heater and present a safety hazard.  It was agreed that the curtains will need to be shortened before the winter and we would need to identify a person with a sewing machine to do the job.  It was also agreed that Rachel will check that the fire alarm record book is being regularly updated.

Jim observed that the spare roof tiles are still outside the hall and should be put up onto the roof for safe-keeping.

Dave submitted a receipt for No Smoking signs for re-imbursement.  Phil agreed to install the signs.

Item 8.  Charitable status application.

Dave is currently preparing the paperwork for the submission to the Charities Commission (?).  It was agreed that Rachel’s details would be given as a point of contact.  Although there is a telephone line installed at the Old School there is no current handset available.  Dave will look into the cost of supplying one.  (NB: The Old Hall telephone number is 823040).

Item 9.  Crick website

Nigel agreed to update the website with respect to the Old Hall and to look into the provision of an on-line diary for bookings.
