Draft Minutes of the meeting of the PARISH
PASTORAL COUNCIL
held on Tuesday 12 September 2006 at 7.30pm in the Holy Ghost Parish Rooms

Present: Fr. Kevin Jones, Ann FitzPatrick, Lawrence Gaffney, Angela Greenwood, Shirley Hayden, John Kavanagh, Jim Nairn, Paul Page Tickell, Gerry Picozzi, Martin Stubbs, Mike Withers (and Sue Niblett)
1. Apologies for absence
Apologies received from Margaret and Sheila.
Jim Nairn and Sheila Isted were welcomed onto the PPC to replace Aoife and
Brenda.
Unfortunately Sheila was absent from the meeting due to long standing holiday
commitments.
2. Minutes of previous meeting
The Minutes of the meeting of 27 June were approved and signed by Chairman.
3.7 Liturgy Group - will be meeting with Father tomorrow (13 September) and will be discussing arrangements for Christmas and Easter. It was noted that Our Lady's School now has its own minibus that will be available for parish use, in addition to the Crowthorne Community minibus already used. This will be particularly useful over the Easter period, when the Triduum Masses are due to be held at the Holy Ghost Church.
4. Larger Pastoral Area - Mgr. Jim Joyce has been appointed co-ordinator for our LPA. At his recent meeting with Father Kevin and Father Chris Rutledge, it was agreed that Baptisms, First Holy Communion and Confirmation should continue within each individual parish, although it was suggested that Confirmation away days could possibly be co-ordinated. Each parish will send a copy of its weekly Newsletter to the other parishes to keep everybody up to date. Father Jim's office telephone number will be put on the parish website. It will also be put on the office answerphone, so that parishioners know who to contact if they need a priest urgently out of office hours. Father Jim has also called a meeting with the Chairmen of all the PPCs in the LPA, for Wednesday 25 October.
5. Parish Mission and Move Forward - an updated list of co-ordinators to the seven main areas is attached to these Minutes.The Baptism Team is now established, comprising Lawrence and Marie Gaffney and George and Nicola Fanning. It is intended to run the Baptism Preparation course on similar lines to that already running successfully at Corpus Christi, using CaFE material. Courses will be held on Saturday mornings from 10.00am - 12.00noon, as required.Mike is to set and advise the date for the first meeting of the Catechesis Group. It was mentioned that the group needs some more members and it was suggested that the RCIA and First Holy Communion Catechists be invited to the meeting.CaFE course dates have still to be set for the new course "Knowing God Even Better" because it is currently running at Corpus Christi and a clash of dates has to be avoided. It is hoped that the course will be held within the parish before Christmas, with possibly a Friday morning class being included. New audio/visual material is available at a one off cost of £100 but Mike will borrow Corpus Christi's material for now. Jim Nairn to raise at next Finance Meeting. Also, Sue to check status of the £200 surplus carried over from the last course.Shirley has built up a library of Child Protection literature. It was agreed that this should be kept in the parish office.Diocesan Courses - Mike drew attention to two courses currently booking : "Developing Skills for Leadership" at St. Joseph's, Tilehurst, from January - June 2007 and "Everybody's Welcome", a one day course on 7 October at St. Peter's School, Winchester. Angela will give details of the second course to Mass Stewards and Welcomers. Details of both courses have already been published in the Newsletter and are on the church noticeboards.The local Anglican church is to employ a Youth Officer. Enquiries will be made as to whether we can 'share' his/her services.
6. Social Committee - the next meeting is on 26 September. The Farewell BBQ for Father Kevin is this coming Saturday 16 September (87 tickets sold to date): a Quiz and Fish and Chip Supper will be held on Saturday 18 November ; a Christmas party for senior parishioners is being organised ; Our Lady's School hall has been booked for Father Kevin's welcome home party next year ; Angela Greenwood and David and Adele Fuller are keen to organise a pilgrimage to Rome next autumn and will be liaising with Anthony Cole.
7. Burma (Myanma) - a committee has now been set up to co-ordinate the ongoing appeal. Several offers of donations via standing orders have already been received from parishioners. Gilly Withers, who successfully runs the Chidamoya Appeal, has kindly offered her expertise. £4,000 has already been taken to Burma and Father will be taking out another £3,000 (in $US). A new toilet block has already been funded and built for the boys. It was suggested that the votive candle money be donated to the appeal and that one month of the year be dedicated as "Burma Month" to boost funds. This could be during Lent.
9. Pastoral support for schools - St. Augustine's School in Frimley has broadened its catchment area to take in children from Crowthorne as well as Sandhurst. It was noted that those children applying for a place at St. Augustine's will need to get their forms signed by Father Kevin before his departure on 27 September. This will be announced in the Newsletter and Laura Tudor, who is a governor at the school, will be asked to remind parents that Father is going away. No reply has yet been received from All Hallow's School in Farnham following Father's request for a list of the children from our parish who attend. Churches Together in Crowthorne are supporting a youth leader, who visits local schools on a non-denominational basis.
11.10.4 Liturgical Calendar - Martin will publish the Liturgical Calendar on the parish website from the date Father goes on Sabbatical. Sue to check website for correct feasts, solemnities and memorials and liaise with Father Adrian.
11.10.5 Disability Discrimination Act - Father had recently met with a Wokingham District Council planner on site at Holy Ghost Church. Regrettably, no grant will be forthcoming for the ramp, nor will a disabled parking pay be permitted in the road adjacent to the church.
4. Continuity and coverage during Father's absence on Sabbatical
This was discussed at some length, the main points as follows :
Ecumenical Service of Remembrance - venue will be Church of Immaculate Conception but date and time to be confirmed with Liturgy Group at tomorrow's meeting. Details will be announced in the Newsletter.
Weekday Masses - Father Adrian will read Mass at 10.00am on Tuesdays at Holy Ghost and on Wednesdays at Immaculate Conception. There will be no morning Mass on Saturdays.
Liturgy of the Word - to continue as often as possible on the weekdays when Mass will not be read.
Bidding Prayers - Father Kevin to give forthcoming six months' bidding prayers to office before he leaves for New Zealand. Sue to check very carefully for weekly relevance and liaise with Father Adrian.
All Saints' - Vigil Mass will be on Tuesday 31 October at 7.00pm at Immaculate Conception. There will be no morning Mass. Mass of the Day will be on Wednesday 1 November at 10.00am at Holy Ghost.
All Souls' - Mass will be at 10.00am on Thursday 2 November at Holy Ghost.
Ash Wednesday - Mass will be at 10.00am on 21 February at Holy Ghost and at 7.00pm at Immaculate Conception. Easter Day falls on 8 April.

Easter - Masses to be confirmed by Liturgy Group and announced as soon as
possible.
Christmas and Easter offerings - will be for Father Kevin. Father Adrian aware and in agreement.
Funerals - Father Adrian will be asked to do these first. If he is not available then Sue to ask Father Jim. The fee for non-parishioners will be £50 extra to cover church costs.
Weddings - applicants will be sent to Father Jim for interview and form filling. Sue to liaise with Father Jim regarding dates and availability of churches. Depending on the required date, Father can finalise the paperwork on his return.
Baptisms - Father Adrian will conduct Baptisms on Saturday afternoons at 4.00pm at Immaculate Conception and on Sundays at 12.15pm at Holy Ghost. Parents and godparents will be invited and encouraged to attend the parish baptism course.
Wedding Blessings - can wait until Father's return.
First Holy Communion - Maureen Boss will conduct the course in the usual format. The children's classes will start in November at the Holy Ghost parish rooms and the celebration will be mid June 2007 (venue to be decided).
Christmas (Prayers of the Church) - Mike confirmed that he will be available to help with this.
Memorial stone in Sandhurst - Sue to contact alternative stonemason to have the stone updated before the Parish Remembrance Service. Some entries have been outstanding for 18 months.
Ongoing maintenance and repairs - a full list of reliable and trustworthy tradesmen is kept in the office. Sue to contact Paul Bird or Martin Reid before calling any other tradesmen in.
5. Any other business
5.1 Rev. Lisa Cornwell - Father Kevin and Mike had attended the inauguration
of the new Anglican Vicar of St.John's Church in Crowthorne and had welcomed
her on behalf of the RC community.
5.2 Coffee Spot - Paul reported that the venture is struggling to make a profit even though it is well used. The management team are discussing with the Town Council the possibility of moving it back from the road, nearer to the playground.
5.3 Night of Light - Paul mentioned that he and Rebecca would like to run an event for the children on 31 October in Sandhurst. Sue asked for details to put into the Newsletter.
5.4 Diaconate letters - in Father's absence, Father Jim will deal with ongoing correspondence regarding Paul' Diaconate. Paul will be having two mentoring sessions with him.
6. Date and time of next meeting
Whilst Father Kevin is away, a working party of PCC members will meet on a
regular basis. The first meeting of that working party will be on Tuesday
28 November at 7.30pm at the Sandhurst parish centre. Closing prayers will
be led by John.
